Parent's Meeting -
At this
time all health examinations should be turned in and all assessment
fees paid. An updated itinerary should be handed out along with an
accounting of money raised for the trip. This is a good time to answer
any questions that they might have.
Map out your travel routes
- You will need to plot
routes such as:
Check your monetary goals
- If you haven't met your
fund-raising goals by now you might want to schedule some more car
washes or a yard/bake sale.
Make up booklets for each
chaperone -
Include items such as:

Lodging information.
-
Itinerary with
phone numbers
-
Safety rules
for the trip.

Cell phone
numbers of all the chaperones and girls
-
Phone
number(s)
of the Emergency Contact Person.

Emergency
information on all the girls (please note that this is
something that is only for the adults - the girls
should NOT have access to it).

Their
approximate costs - food, tour fees etc.
-
Copies of all
the maps.

Names of the
girls that they will be responsible for during different
parts the trips: Who will they be in the hotel rooms
with?, Who will they be traveling with? and Who will they be
touring with?

Any other information that you feel it would be
important for them to have.
Submit your
final paperwork to Council -
You will need to send
in these five items to Citrus Council at least
two months before departure.
Plan a Pinning Ceremony to
take place at the Birthplace -
Your girls should do this. Type it up and make extra copies.
Send home a list of food
items for the trip -
You
will need drinking water in individual bottles and snacks & drinks
for the evenings. A good idea is to ask only those parents that are not
chaperoning to provide this. That way it is more equitable.
